How to use the Records
These records have been digitised and can be viewed online. The digitised images are contained in the P1 consignment, whilst the original records are in the P0 consignment.
The original records consisted of a single volume, which has been broken up into several parts for ease of online viewing. This provides two options for locating items of interest in the P1 digitised records:
1) Browse the contents of the P1 consignment for date ranges of interest, and download relevant sections.
2) From the P1 consignment, download the portion of the volume containing the A to Z index of people and offices to whom letters were sent. The entries in the index provide the page number(s) in the volume on which you can read a transcription of the relevant letter. Download further portions of the volume and locate transcriptions of letters of interest.
Function / Content
This series contains transcriptions of the correspondence sent by the Police Magistrate, Port Phillip District to the Colonial Secretary and other government officials in Sydney, officials in other Australian colonies such as Van Diemen's Land (Tasmania) and South Australia, to local officials and government servants, leading clergy and private persons in the District.
Letters to the Colonial Secretary and other Sydney officials dealt with reports on the administration of the colony and matters pertaining to that and in relation to the maintenance of the official and military establishments, the further appointments of officials and the financing required. Correspondence sent by ship has the name of the vessel noted.
Other correspondence dealt with matters such as the sale of Crown Lands, aborigines, immigration, the administration of justice, the apprehension and treatment of convicts either labouring for the administration or absconding, especially from Tasmania, and the issuing of permits for such things as the publishing of newspapers and the keeping of public houses. All matters relating to the governance and administration of the colony are referred to.
Recordkeeping System
Letters addressed to the Colonial Secretary, Sydney have been given an annual single number. Otherwise, correspondence is unnumbered and recorded in chronological order of composition and despatch.
Correspondence is indexed alphabetically by the office or the name of the addressee with the number of the folio (or page) upon which it appears.
