  • How to use the Records
    1883-1917
    Either consult the consignment details for VPRS 1161 and request the unit number covering the required date range, or consult VPRS 1162 Register of Outward Correspondence, which is arranged by subject (see series text for more information).

    If using the Registers, scan the entries for the subject area you are interested in, and note the registration number of any items you wish to request. Then consult the consignment details for VPRS 1161 to obtain the required unit number.

    1917-1963
    Outward correspondence created during this date range is controlled by VPRS 10379 Register of Inward and Outward Correspondence (see series text).

    However, researchers should note that the use of a separate numbering sequence for the identification of outward correspondence was abandoned around 1925. From this time, copies of outward correspondence were attached to the relevant inward correspondence file. (Copies were also recorded in the outward letter books, VPRS 1161). Any registration number recorded on outward correspondence from this time is the number of the previous item of inward correspondence on the correspondence file.

    Therefore, registration numbers were only allocated from VPRS 10379 to items of inward correspondence. However, the registers do record brief particulars and the date of any items of outward correspondence on a correspondence file (in the Outward Letters column for the relevant inward correspondence registration number).

    Researchers wishing to access the copies of outward correspondence in this series, VPRS 1161 for the period 1918-1963, should note the date of outward letters recorded in VPRS 10379 Register of Inward and Outward Correspondence, and consult the consignment details for VPRS 1161 to obtain the required unit number.

    Alternatively, researchers could obtain the top number of the correspondence file from VPRS 10379 and consult the consignment details for VPRS 1163 to see if the entire file of inward and outward correspondence is in PROV custody.

    This series consists of letter press books containing copies of items of outward correspondence.

  • Recordkeeping System
    Within this series, two systems of arrangement and control are evident.

    1883-1917
    During this period, the letters in each unit are arranged chronologically by the date of each item, and each item was allocated a sequential annual single number.

    For this date range, the series is controlled by VPRS 1162 Register of Outward Correspondence (see series text for more information).

    1917-1963
    The practice of allocating an annual single number to each item of outward correspondence was abandoned by the agency around 1925. The agency also began to file copies of outward correspondence on the relevant inward correspondence file (see VPRS 1163). If outward correspondence in VPRS 1161 for this period does bear a registration number, it is most likely that of the previous item of inward correspondence on the file.

    For this date range, the controlling series is VPRS 10374 Register of Inward and Outward Correspondence (see the discussion above at How to Use the Records). The Registers record the dates that items of outward correspondence were created, in the entry for the relevant item of inward correspondence.

    The letter books in VPRS 1161 for this period are arranged by subject. The agencys subject classification system was used to classify and control both its inward and outward correspondence during this period.

    Each unit is divided into several subject categories by numbered tags. There is an index to this subject classification system at the front of each unit. Copies of items of outward correspondence were recorded in the applicable subject category, so that for each category, the letters are arranged in chronological order.
