Refer to the consignment details and retrieve the unit containing the cards for the appropriate period.
Function / Content
This series comprises an index to correspondence in VPRS 1207 and an index to entries in VPRS 1212. The index is arranged alphabetically by subject or by name of correspondent. Entries are contained in alphabetical sections in each volume but, within each section, entries are not arranged lexicographically.
There are three volumes extant in this series. The date range of entries in the volumes is ?1873 to 1966. It is not clear if an index in this form was created prior to 1873
It does not appear that this is an index to all correspondence contained in VPRS 1207. Rather, it appears to be selective, perhaps created to give quick access to major or heavily used files.
File number references obtained from this index are not necessarily the final numbers unde which correspondence was filed. If a file number reference is found in this index researchers should:
1.Consult consignment details for VPRS 1207 to see if correspondence with that number has been transferred.
2. If it is not apparent from those consignment details that a particular file has been transferred, researchers should use the reference from the index to access the correspondence registers in VPRS 1212.

The record keeping system, first introduced in 1856, managed the inwards and outwards correspondence of the Departments and the associated registers and indexes. Inward and outward correspondence was managed separately and at document level. Although the system remained essentially the same until the introduction of an automated RMS in 1984, there were some small changes made over time.
In general, when correspondence was received at the Department it was first registered and then indexed by subject matter or name of the sender. All correspondence was then arranged and filed in registration number order. Similarly, copies of outward correspondence were registered upon receipt. Outward correspondence was, however, only indexed in separate indexes during the earlier period.
