Function / Content
This series consists of general correspondence files maintained alphabetically by subject heading by the Port of Portland Authority (VA 1427). Files relate to the entire range of business conducted by the agency. The files contain inward and outward correspondence.
Recordkeeping System
The agency has used an alphabetically arranged subject filing system. It is not known how the subject-based titles of the files were derived as no authorised list of subject terms or titles is extant.
Individual letters within these files were allocated a registration number upon receipt, from a sequential number system from 1950 to 1956 and an annual single number sequence from 1956 to 1987. Control records, ie, inward correspondence registers, name & subject indexes have not been located at the time of transfer.
Outward correspondence had been filed in letter books in an annual single number system from 1955 to 1971 (VPRS 11908 Outward Correspondence, Annual Single Number System) and in alphabetical order by name of correspondent from 1972 to 1992 (VPRS 11909 Outward Correspondence, Alphabetical Order by Name of Correspondent). However, it is not known whether a copy of the outward letter was consistently filed on the general correspondence files. It is unclear whether outward correspondence for the period 1992 to 1996 was maintained. At the time of transfer none had been located.
This series ended in 1987 when it was replaced by a series of files in an Alpha-Numeric sequence (VPRS 11907 General Correspondence, Alpha-Numeric System). However, it appears that the agency continued to create part files in this series, after the commencement of the subsequent series, ie VPRS 11907 General Correspondence, Alpha-Numeric System.
Papers that were found unattached to files in both this series and VPRS 1907 General Correspondence, Alpha-Numeric System were brought together in 1998 to form VPRS 11906 General Correspondence.
