  • How to use the Records
    As at 2003, the records were not transferred into archival custody.

    The inward letters registered by this series are filed on VPRS 12364 General Correspondence Subject Files, Explosives; VPRS 12362 Chief Inspector of Explosives' General Correspondence Files, Single Number System and VPRS 12365 General Correspondence Subject Files, Gas.

    Letters were classified with 'E' for Explosives, 'G' for Gas and 'L' for Licences.

  • Function / Content
    This series consists of register of inward correspondence of the Explosives and Gas Examining Branch of the Chief Secretary's Department and its successor agencies.

    The register was used to allocate unique identification numbers (registration numbers) to each letter received and to record summary details regarding the management of the correspondence. Each inward letter was, on receipt, allocated an annual single number with an alpha prefix (eg., 'E' for Explosives) from the register.

    The register records in a column format:
    - registration number
    - day and month received
    - name of the sender
    - subject content of the letter
    - other correspondence
    - how disposed of.

  • Recordkeeping System
    Each inward letter was, on receipt and registration, given a distinctive number for identification. This consisted of an annual single number with an alpha prefix (ie 'E' for Explosives, 'G' for Gas and 'L' for Licences).

    The annual single number was allocated from the Register of Inward Correspondence (ie this series), which records the name and location of sender, date of receipt, precis of letter, and how disposed of.

    A reply was drafted and a copy was placed into a Letter Book, see VPRS 12366 Outward Letter Book, Explosives and Gas Examining Branch. Each outward letter was registered within the Letter Book by the allocation of a single number, which was recorded on the letter. A name index in the front cover provides reference to the folio number of the letter. Copies of outward letters relating to LPG were filed separately until 1967, see VPRS 12367 Outward Letter Books, LPG (Explosives and Gas Examining Branch).

    The correspondence was filed under subject headings. It is not known how the subject-based titles of the file titles were derived. No authorised list of subject titles, or any name or subject index created as part of the record keeping system, was located as at 2000.
