  • How to use the Records
    As at 2003, the records were not transferred into archival custody.

    Step 1
    Consult the consignment details for VPRS 12363 Register of General Correspondence (Inward), Annual Single Number System and call up the register for the appropriate year.

    Scan the register for the item/s of correspondence in which you are interested and note the classification of the letter/s: 'E' for Explosives, 'G' for Gas or 'L' for Licences.

    Step 2
    For correspondence about explosives refer to the consignment details for VPRS 12364 General Correspondence Subject Files, Explosives (i.e. this series) and select the relevant unit or file.

    Or, refer to the consignment details for VPRS 12362 Chief Inspector of Explosives General Correspondence Files, Single Number System and select the relevant unit or file.

    For correspondence about gas refer to the consignment details for VPRS 12365 General Correspondence Files, Gas and select the relevant unit or file.

  • Function / Content
    This series consists of general correspondence files of the Explosives and Gas Examining Branch of the Chief Secretary's Department and its successor agencies.
    The files relate to the function of explosives inspection and regulation.

  • Recordkeeping System
    The files were arranged alphabetically by file title.

    Each inward letter was, on receipt and registration, given a distinctive number for identification. This consisted of an annual single number with an alpha prefix (i.e., 'E' Explosives, 'G' for Gas and 'L' for Licences).

    The annual single number was allocated from the Register of Inward Correspondence (VPRS 12363). The name and location of sender, date of receipt, precis of letter, and how the letter was disposed of was recorded in the register.

    A reply was drafted and a copy was placed into a Letter Book, see VPRS 12366 Outward Letter Book, Explosives and Gas Examining Branch. Each outward letter was registered within the Letter Book by the allocation of a single number, which was recorded on the letter. A name index in the front cover provides reference to the folio number of the letter. Copies of outward letters relating to LPG (Liquefied Petroleum Gas) were filed separately until 1967, see VPRS 12367 Outward Letter Books, LPG (Explosives and Gas Examining Branch).

    The correspondence was filed alphabetically under subject headings. It is not known how the subject-based titles of the file titles were derived. No authorised list of subject titles, or any name or subject index was located as at 2000.
