How to use the Records
This series may be used to locate full registration details for correspondence registered in VPRS 12621 Self-Indexing Register of Secretary's General Correspondence, Annual Single Number System I and filed in VPRS 421 Secretary's Inward Registered Correspondence, Annual Single Number System. Use this series only if you know the registration number of the item you require.
This series will give you the folio (page) number of the relevant item of correspondence in the Register. Consult the Consignment Details for VPRS 12621 to locate the appropriate volume.
Once you identify the highest/top number under which the correspondence was filed refer to the Records Description Lists for VPRS 421 and identify the unit that holds your file.
Function / Content
This series was used to obtain the next registration number for inward correspondence and to record the page number of the volume in which the full registration details were entered (in VPRS 12621 Self-Indexing Register of Secretary's General Correspondence, Annual Single Number System I.
The series comprised a list of sequential numbers against which were recorded, in two columns, the volume and folio (page) numbers of the full registration.
Recordkeeping System
The record keeping system of the agency comprised the following series:

-- VPRS 12621 Self-Indexing Register of Secretary's General Correspondence, Annual Single Number System I
-- VPRS 12602 Numerical Index to Secretary's Self-Indexing Inward Correspondence Register, Annual Single Number System I (this series).
All inward correspondence was registered upon receipt with an annual single number. The first part of the registration process simply involved the allocation of the registration number. The second part of the registration process involved recording full details about when the correspondence was received and registered, the name of the correspondent (corporate or individual), the subject of the correspondence, referral of the correspondence to other offices and the attachment of correspondence to subsequent papers.
After the allocation of the registration number from this series, registration details were recorded in the Self-Indexing Inward Correspondence Registers (VPRS 12621) under sections identified by the names of organisations/individuals or subject areas. The correspondence was then filed in VPRS 421 Secretary's Inward Registered Correspondence, Annual Single Number System.
