  • Function / Content
    This series is one of a number maintained in the Occupation Branch of the Department of Crown Lands and Survey after 1896 although this particular series was established only in 1905. It registers correspondence received relating to the occupation of Crown land by lease or by license in a number of Land Districts. For the whole period this series registered correspondence relating to the Seymour and Benalla Land Districts. At various periods it registered correspondence relating to the Echuca, Kerang and Bendigo Land Districts as well. This reflected changing working arrangements within the Branch in terms of responsibilities for a group of Land Districts by a team of clerical officers. This series was succeeded by the 'HO" series of correspondence which came to cover the whole Eastern Division of Victoria.

    Registrations consisted of the registered number (a sequential number with a Y prefix), the dates of the letter and of the entry, the name and address of the correspondent, a summary of the subject of the letter and how it was dealt with. This last entry was most usually the number of the file to which the piece of correspondence was attached or a reference to a District Land Office. (Many of these files are held by PROV in the series identified in the Series Controlled entry.) There may be within a registration, notations of the numbers of other pieces of correspondence received on the same subject denoted by a letter and a number.

  • Recordkeeping System
    Within the sequentially numbered register, divisions were made into alphabetical sections determined by the name of the correspondent. Thus, not all numbers within a register were allocated. Changes to a new volume were made when one or more of these alphabetical sections had been filled.
