How to use the Records
Researchers will need to know the plan number to find the registered entry for a plan.
The plan numbers can be obtained through consulting VPRS 16622 or VPRS 16666.
The series is not complete with registers missing. There are also gaps within the registration sequences in the extant volumes. In a couple of the early volumes, the end of the registration number sequence is repeated in the subsequent volume.
Function / Content
The series was used to maintain the summary details of the plans and probably to control the allocation of plan numbers.
The first two volumes record the separate plan registration numbers for the Survey Branch and the Hydrographic Section. The rest of the volumes record a singe system of plan registration numbers.
The content varies over time but the type of information you can find in the registers includes: Date of Entry; Serial Number (plan); File Index (e.g. A1, A3, B1); Region; Drawn on; Drawing Number; Sheet Number; Scale; Title; Drawn (by); Negatives; Prints; Microfilm; Issued to; Original Issue Date; Returned; Remarks.
Recordkeeping System
Entries in the register are in plan number order. The first volume consists of an exercise book. Subsequent volumes were compiled from pro-forma folios that were placed in binders. The last volume comprises photocopies of several sequences of plan numbers, from different decades, which were bound together in a volume by staff at Rural Water Corporation (VA 4234).
