How to use the Records
How to use this series
VPRS 2334/P3 is a microfilm copy of VPRS 8354 Rate Books.
Consult the records descripton list and select the microfilm unit covering the period and, if known, the riding or ward in which you are interested.
Check the list of streets at the front of the volume to ensure that you have the right rate book.
1857 to 1910
Scan the entries until you find the people or property in which you are interested. The entries are in assessment or rate number order. Sometimes this roughly reflects the alphabetical order of occupier or ratepayer surnames. At other times it reflects the order in which the properties were valued.
1910 to 1955
From 1910/11 most rate books include an alphabetical index of street names which provides page references for many but not necesarily all streets recorded in the rate book.
Missing volumes
When the City of Caulfield filmed the rate books in 1992, a number of volumes could not be located. A list of these volumes follows this series registration.
1879 to 1882 and 1891/92
The missing rate books for these years were filmed in 1976. See VPRS 2334/P1 units 1 and 2.
Locations of microfilm copies
The reference sets of the microfilms are available in the Public Record Office's Laverton Search Room. Reference copies of the 1992 microfilm were also provided, by the City of Caulfield, to the main Caulfield Library (the Maple Street Library) and to the Special Library which is located at the City Hall.
Series Content
The films in this series were produced as part of two separate microfilming projects and hence there are two sequences of microfilm in the series. The first, produced in c.1976, covers the period 1871 to 1900. The second set, which was produced in 1992, covers the period 1857 to 1955. The first set has been retained because it contains copies of rate books for the periods 1879 to 1882 and 1891/92. The City of Caulfield was unable to locate the original rate books for these years when the second set was created in 1992.
The microfilm has been transferred in four consignments:
VPRS 2334/P Rate Books [Microfilm Copy of VPRS 8354] (1871 to 1900) Master Copy;
VPRS 2334/P1 Rate Books [Microfilm Copy of VPRS 8354] (1871 to 1900) Reference Copy;
VPRS 2334/P2 Rate Books [Microfilm Copy of VPRS 8354] (1857 to 1955) Master Copy;
VPRS 2334/P3 Rate Books [Microfilm Copy of VPRS 8354] (1857 to 1955) Reference Copy.
The rate books were filmed in chronological order and, for years where there was more than one rate book used, in order of range of rate numbers in the volume.
For information about the original rate books see the series description for VPRS 8354.
Original Consignments
In 1976 funding was provided through the National Estate Project which enabled a number of Victorian municipalities to have their pre 1900 rate books microfilmed. Depending upon finance available within the municipality, and depending upon storage facilities available to each municipality and to the Public Record Office the original rate books, the master set of microfilm and a reference copy of the microfilm may have been transferred into archival custody.
In the case of the City of Caulfield the master set and a single reference set of microfilm was transferred as VPRS 2334 with no consignment identifiers for either the master or reference sets of film. That film was transferred as part of accession number 76/20. The master microfilm was stored in the Public Record Office Laverton Microfilm Security Repository and the reference set placed in the Laverton Search Room. The original records were retained by the municipality at that time.
In 1992 when the City of Caulfield proposed transfer of the subsequently created film, the original consignment was reprocessed to produce a P and P1 consignment. The P consignment was the master and the P1 consignment the reference set of the microfilm created in 1976.
P2 And P3 Consignments
In 1991 City of Caulfield initiated a project to microfilm all of its extant rate books. For each rate book an alphabetical list of street names contained in the book was created. This list was produced as a paper record and was also included on the microfilm. Each list was fixed onto the end page at the front of the rate book to which it referred.
The master set of microfilm has been transferred into archival custody as the P2 consignment and has been closed to public access. A reference set, which is on open access, was transferred to the Public Record Office as the P3 consignment of this series. This set is available for use in the Laverton Search Room.
