  • How to use the Records
    Correspondence received by the Town Clerk and Lord Mayor from other governments, departments or officials has been bound into volumes in chronological order.

    If the researcher knows the approximate date when the correspondence was written, then the volume (unit) for the appropriate period may be identified in the consignment details. The unit number should be noted.

    This series contains incoming correspondence only.

    A subject index may be found at the back of some volumes. The index refers to correspondence bound within that volume. Entries have been made under particular subject headings, along with a brief summary of the letter, and letter number. (The letter number is the number given to the letter in the volume and written on top right-hand corner of the first page of each letter). The number of subsequent letters on the same subject are also given. It should be noted that not all the volumes contain an index.

    VPRS 3622 Town Clerk's Inward Correspondence - Miscellaneous Letters consists of similar correspondence to this series, some of it semi-official, much of it from business people and citizens. It covers the same date range as VPRFS 3621.

    VPRS 3181 Town Clerk's Correspondence Files Series I, also contains some correspondence from 1842 to 1858, although most of the correspondence in this series dates from 1858 to 1909.

  • Function / Content
    This series contains correspondence received by the Town Clerk and Lord Mayor from other governments, departments or officials bound into volumes in chronological order.

  • Recordkeeping System
    The correspondence in this series is arranged in chronological order. Many of the letters bear an annual-single number which appears to be related to the registry systems of the senders, rather than the receiver, that is, the office of the Mayor or the Town Clerk.

    The letters as they are bound in the volumes are numbered in the top right hand corner of page one of each letter. In some volumes the first letter in the volume starts at 1; in other volumes the number of the first letter in the volume follows on from the last letter in the preceding volume.

    VPRS 3622 Town Clerk's Outward Correspondence - Miscellaneous Letters: this series was comprised of correspondence from non-government sources.

    The Town Clerk's outward correspondence for the years 1852 to 1858 (and later) can be found in VPRS 4025 Town Clerk's Outward Letter Books.

    Subsequent Series

    VPRS 3181 Town Clerk's Correspondence Files Series I: this series was largely comprised of correspondence received by the Town Clerk from 1858 to 1910. The series included some correspondence from 1842 to 1857. This subsequent series was not separated into government and miscellaneous letters, but filed under a number of subject headings.
