  • How to use the Records
    Consignment P0000 of this series has been reprocessed. The consignment now contains only 11 units, relating to the period 1859 to 1871. The remaining units have been reserialised into VPRS 12621/P0001 Self-Indexing Register of Secretary's General Correspondence, Annual Single Number System I (1872 -- 1892), VPRS 12622/P0001 Secretary's General Correspondence Register, Annual Single Number System II (1893) and VPRS 12623/P0001 Self-Indexing Register of Secretary's General Correspondence, Annual Single Number System II (1894 -- 1910).

    The new identities of the former units are as follows:

    VPRS 422/P0000, units 12 to 44 are now VPRS 12621/P0001 units 1 to 33
    VPRS 422/P0000, units 45 and 46 are now VPRS 12622/P0001 units 1 and 2
    VPRS 422/P0000, units 47 to 100 are now VPRS 12623/P0001 units 1 to 54

    This series (VPRS 422) and related indexes mentioned below were created as part of the one record keeping system can be used to retrieve files from VPRS 421 Secretary's Inward Correspondence for the period 1859 to 1871.

    The exact date of commencement of this series is uncertain. The first unit of the P0000 consignment commences with registration number 312, allocated in March 1859.

    The record keeping system of the agency comprised the following series:

    All inward correspondence was registered in VPRS 422 Secretary's Inward Correspondence Register, Annual Single Number System I upon receipt with an annual single number. The register was numerical by registration number and documented where the file was put away, that is, it recorded the registration numbers of subsequent correspondence and the officers or branches to whom it was referred for advice or action.

    After registration in VPRS 422 correspondence was indexed by subject in VPRS 12601 or by name of the sender in VPRS 12600. All correspondence was then arranged and filed in registration number order in VPRS 421 Secretary's Inward Registered Correspondence, Annual Single Number System.

    The outward correspondence appears to have been filed separately. Subject to research, it might have been filed in VPRS 12599 Outward Letter Book.
