  • How to use the Records
    1859-1866
    The Registers of Inward Correspondence for this period (VPRS 429, Units 1-4) have alphabetical indexes sewn into the front of each unit.

    1867-1871
    VPRS 427/P1 alphabetically indexes entries in VPRS 429, Unit 5.

    1878-1956
    Researchers with a specific subject or searching for correspondence from a particular official or person should first consult VPRS 427 Index to Inwards Correspondence for the appropriate year/date range to identify the registration number of the correspondence. Letters from " persons" i.e.. members of the public, were indexed alphabetically by surname in the appropriate alphabetic section within the index. Letters from rural officials or other government officials/agencies were indexed under the name of the locality, name of the department or position. Remember that some subject classifications used reflect 19th century ideas, values and attitudes and will not necessarily be analogous with current terminology.

    Having identified a relevant entry in the index, note the correspondence registration number given, eg 5502 (ie, the 5502nd letter in the Register for that year), as well as the year the letter was received. Refer to VPRS 429 Register of Inward Correspondence for the relevant year to locate the entry.

    Once the entry for that letter has been located in the register the final filing location (and therefore the registration number to search for in the Records Description List for VPRS 425) should be identified by tracing any links to subsequent correspondence usually marked in the far right hand column of the registers.

    It is important to follow the chain of correspondence until no higher registration number is listed against the entry as correspondence was filed under its final registration number. Having followed the chain of correspondence and identified the last registration number under which it was filed, the researcher should check the Records Description List for VPRS 425 to identify the unit in which the file is located.

    1958 -1980
    VPRS 12987 General Index to VPRS 425, Inward Registered Correspondence, Annual Single Number System may be used to locate files relating to the Melbourne Underground Railway Loop, MURL project. The files are located in the P2 consignment of this series.

  • Function / Content
    This series consists of inward registered correspondence, related to the function of construction of new lines of railway. Various agencies had responsibility for railways construction since 1857. The majority of the correspondence was received by the Railway Construction Branch (1892-1965) and the Railway Construction Board (1964-1980).

    VPRS 425/P1: Estrays
    This consignment consists of estrays that at some time became separated from the records in VPRS 425/P.

  • Recordkeeping System
    This series is controlled by VPRS 427 Index to Inward Correspondence 1878-1956, and VPRS 429 Register of Inward Correspondence (1859-1942).

    Inward correspondence was filed under the registration number of the last item on each correspondence file, also known as the top number. These top numbers are the registration numbers that are listed on the Records Description List for VPRS 425. As the correspondence is arranged by the top number, it is important to use the registers in VPRS 429 to follow the chain of correspondence and obtain the registration numbers of any subsequent correspondence.

    The registration numbers were allocated from VPRS 429 (Register of Inward Correspondence). On receipt by the agency, each inward letter was given a registration number for identification. This consisted of an annual single number, that is a sequential number prefixed by the last two figures of the year, with the numbering sequence recommencing at 1 at the start of each year. Thus the one-hundred and twenty-third item received in 1895 was given the number 95/123.

    Items were subsequently indexed in VPRS 427 or in the indexes sewn into the front of VPRS 429, Units 1-4.

    A separate index ( VPRS 12987 General Index to VPRS 425, Inward Registered Correspondence, Annual Single Number System) was created to provide access to the Melbourne Underground Railway Loop project files. The relationship of this index with other control records, VPRS 429 and VPRS 427 is subject to further research.
