The catalogue of Crown Lands and Survey Files covers about 2/3 of Lands files held at the Public Record Office. For a list of relevant record series numbers see 16 Related Controller or Controlled series. the catalogue was compiled by listing each file individually and computer-sorting the list into firstly, Parish/Town order and secondly into file number order. This list is the file number order compilation ("FILETYPE"). For a list of files sorted according to locality see VPRS 7312 Catalogue of Crown lands and Survey Files: Parish/Town order.
Each line in the catalogue represents one file. (Where a file relates to more than one piece of land, it may be represented by more than one line in the catalogue). Information about each file has been recorded under the following column headings:

Parish/Town Name parish, township or county; or other locality or subject information
Code parish, township or count code if applicable. Codes assist with computer-sorting and checking of information; they are of little use for general reference.
Allot, Sec Usually allotment and section; may instead contain a description of file contents
Area area usually in acres, roads and perches; may instead contain description
Dist land district in which the land office administering the business of the file would have been located.
The pages are arranged on the microfiche in vertical order.
The file entries are sorted into file number order. ie The files are arranged numerically or alphabetically according to "file category". Within category groups, files are arranged according to serial number. The list is further divided into:
(i) List of "date" files - ie correspondence files whose category indicates a year. eg. 60/A 8907 (60/A = category, 8907 = serial) was the number given to the 8907th letter recorded in correspondence register book A in 1860.
(ii) List of "alphabetical" files - ie files whose category begins with a letter. These include : correspondence numbers derived from alphabetical Lands register books used during 1876-96 (eg D20244 - correspondence received from somebody whose name begins with D); district correspondence numbers used after 1896 (eg. HO 9229-HO means that the correspondence was relevant to the Eastern district of Victoria); alphabetical codes indicating file contents (eg. C, when used after 1986, usually means that the file deals with a Crown reserve); description (Eg. ESTATES).
nb. This list begins with files which have no category and files whose category was mistakenly preceded by a blank space when typed into the computer. eg. 47.98.6 appears wrongly as the first category in the alphabetical list, because it is preceded by a space.
(iii) List of "numerical" files - mostly section numbers, ie. the file category is the denominator (lower part) of the fraction-type file numbers often found on parish plans, and refers to a section of an Act. eg. 2964 59.61
59.61 is the category indicating that the land was held under the provisions of sections 59 and 61 of the Land Act 1898.
On the Records Description List these file number have been written as fractions, as they would appear on plans or file covers, rather than in the column format used in the catalogue.
nb. OB and O, which are alphabetical categories, appear wrongly at the beginning of the numerical list because the O has been misinterpreted as a zero.
Some file numbers listed in the catalogue do not make sense and have obviously been recorded wrongly eg. 42c_ - 9525 is too high a number to be section of an Act. 9525
* File numbers can be obtained from parish or township plans, correspondence registers, or Government Gazettes.
