How to use the Records
This series was used by the Country Roads Board, (later the Road Construction Authority) to record survey details relating to proposed activities. Most of these plans relate to either road alignments, the acquisition of land for road constructions or the disposal of excess requirements (i.e. land). These plans detail the dimensions of the area affected by the proposed action and are used as the basis for CRB and RCA Government Gazette notices. A copy of the diagram or description of the area from that notice is generally also placed on the plan. Each is signed and dated by the surveyor responsible for its drafting.
Each plan was allocated a consecutive survey plan number which must be obtained if a particular plan is to be retrieved. Some numbers for various reasons, were not allocated. These numbers have been placed in their approximate location on a relevant parish or township map which acts as and index to this series. The RCA maintains an up to date index to all survey plans although withdrawn maps are held by this office as VPRS 7390 and 7391. Plan numbers can also be obtained from CRB/RCA notices in the Government Gazette although it is recommended that the RCA index held at their offices in Denmark Street, Kew be consulted for reference to the latest plan. (A copy of which can be provided.) For historic (i.e. non current) plans 7390 and 7391 can be consulted.
The RCA index in Kew should ideally be consulted because many plans are subject to alteration due to circumstances such as alignment changes or the need to purchase additional land. When such changes are required, a new plan incorporating the change is drafted. This new plan is allocated the same survey plan number but with an alphabetical suffix to note the change.
The letter utilised denotes the frequency of change. (i.e. A the first, B the second etc.). In some instances, however, a plan may be superceded by a completely new plan which is allocated a new survey plan number.
Survey field notes were also created depending on the type of proposed action. A process known as parcel coding identifies individual areas on a plan for which such notes exist. However, this is a new process dating only from plan number 16200 (1986). Indexes held at Kew for pre 16200 plans must be consulted to determine their existence. Copies of field notes can also be provided by the Authority.
These plans have been progressively microfilmed by the Authority since 1982. As certain details in plans number 1-4499 are not easily distinguished on microfiche, these plans have been retained by the Authority.
Additionally, under provisions of the Survey Co-ordination Act 1958, microfiche copies of survey plans are also lodged at the Central Plan Office. Plans can be accessed and copies provided, although once again references to the latest plan should be made directly to the Authority.
