Function / Content
These records contain details regarding the arrival and disposal of bodies at the City Mortuary/Coroner. Although the phrase "Police Report Books" is found on spines of all volumes, Admittance Books more correctly described the records function and was the term used by the agency to describe the series. Series is arranged chronologically by date and time of receipt of body.
All information pertaining to a deceased is contained on a single page. Information entered on receipt of body includes the name of the deceased and undertaker bringing body, date and time of arrival and the name, station, number and report of the police officer who accompanied the body. The detail found in this report varies. In approximately 50% of cases the report simply states that the officer concerned accompanied the body from the place of death. In other instances the report may also contain the circumstances of death, the address of the deceased, the name of the doctor who pronounced life extinct, the place of examination and other information deemed relevant.
Annotations made beneath this report detailed what occurred after receipt. This includes whether a Post Mortem (P.M.) was conducted, by whom and the date, whether an inquest was held or a decision of death by natural causes entered. Prior to 1948 the "Certificate for Removal of Body from Morgue" is attached. From 1948 this information is replaced by the annotation "gone". In both instances the signatures of the undertakers receiving the body and the police officer transferring the body is attached. A subsequent annotation determines whether the body was cremated.
Occasionally entries may also record the person identifying the body, the deceased's regular doctor, the age and marital status of the deceased and a brief summary of the Port Mortem result. Item 1 also contains declarations by relatives who collected the property of the deceased. These declarations spanning 1934-1936 have been pasted over the original entries in the books.
Recordkeeping System
No controlling records were created for this series. Entry is by date of receipt of body. An attempt to control entries appears to have been made between 1930-1935 with the numbering of cases through an annual single number system. As it appears that all these numbers were imposed at the one time and no controlling index has been located,it has been decided not to register these volumes as a separate archival series.
Entries in 1959 only also have been allocated an annual single number. This practice was adopted not to control entries in the books but as a means of determining the first file number of what would become VPRS 10010 Body Cards 1- September 1959. The five 1959 volumes (items 109-113) are controlled by VPRS 7663 Melbourne Admission Index which cites the book (i.e. 1-5) and case number.
This series ended in September 1959 with the introduction of VPRS 10010. The function of these books was replaced by a series of admission cards.
