This series consists of inward correspondence registration cards which formed part of a general subject correspondence filing system maintained by the Melbourne Harbor Trust Commissioners (from 1978 known as the Port of Melbourne Authority) between 1913 and 1981. It appears to have commenced on 5 February 1913 in conjunction with a major reconstitution of the Melbourne Harbor Trust Commissioners, which included the appointment of a full-time Chairman. The cards are a subsequent series to VPRS 7967 Inward Correspondence Registers, although the registers continued to be used until 10 March 1913 and hence overlap the beginning of this series.
The registration cards in this series control VPRS 7972 General Subject Correspondence Files : Alphabetical. With 10 entries per card, the information provided for each entry initially included:
registration no.
date (of letter)
from whom letter was received
subject (of letter)
subject title under which letter has been filed
date filed.
A tab at the top of each card records the last registration number entered on the card.
Recordkeeping System

Contents in Custody : entries were made on the cards in chronological order by date of receipt of letter
In September 1927 an extra column was added to the cards in which could be recorded the initials of the person/section to whom the correspondence had been referred. This had previously been noted informally in the date column. In June 1961 a larger format card was introduced to provide space for recording a number of referrals. No changes were made, however, to the information required on the card.
This series provides one point of access to the general subject correspondence files. Correspondence on the files can also be accessed via VPRS 7974 Inward Correspondence Name Index Cards, which allows for alphabetical retrieval of letters by the name or title of the correspondent. The internal reports placed on the files can be accessed via a separate controlling series: VPRS 7975 Internal Report Registers.
Subsequent Series
In January 1982 an alpha-prefixed multiple number classification filing system was introduced. At this time a new sequence of registration numbers was commenced beginning with number 1. Only 30 letters were registered under this new sequence. Thereafter, the allocation of registration numbers reverted to the numerical sequence which had been in use, for registering inward correspondence, however, from this time the format of the cards changed and they began to be used to register both inward and outward correspondence in a single numerical sequence. This subsequent series has, at 2012, been retained by the Port of Melbourne Authority.
