Function / Content
This series consists of the master set of signed Minute Books of the Melbourne Harbor Trust Commissioners (from 1978 known as the Port of Melbourne Authority) maintained from July 1944 to 1996. This series comprises minutes which follow on from those in VPRS 7981 Minute Books (Chairman's Copies), which have been retained up to 1944 as the only record extant.
The minutes, which were required to be kept under Melbourne Harbor Trust legislation, comprise an official record of decisions made at the meetings of the Executive Board. Initially the Board comprised only the Chairman and Commissioners, however, in 1984 the role of the Chief Executive was separated from that of the Chairman and the Board expanded to comprise the Chairman, Commissioners, the Executive Management as well as a number of Board Advisors.
Previous Series
There is evidence to suggest that a master set of signed Minute Books once existed for the period 1913 to 1944. However, no such books were extant at the time of transfer of the first consignment. In view of VPRS 7983 Index to Minute Books, which is extant, it is believed that the arrangement of the minute books between 1913 and 1944 was controlled by the sequential numbering of the volumes. Therefore, if the minute books were extant they would be the previous series to the current (i.e. 1944 -ct) Minute Books series.
Recordkeeping System
From the beginning of July 1944 the minutes were typed and bound in annual volumes : initially by calendar year until June 1975 and by financial year thereafter.
There is an alphabetical subject and name index at the front of each volume which provides page number references.
