  • How to use the Records
    This series does not need to be ordered. A copy is available for researcher use in the North Melbourne Reading Room.

    This series was created as an aid to identifying plans of interest in VPRS 8168 Historic Plan Collection. The data in VPRS 8164 has been transcribed into a records description list for consignments P2 and P3 of VPRS 8168. Researchers can read the VPRS 8168 series description for options to identify plans of interest.

    If you choose to use VPRS 8164 to begin your search, follow the steps below:

    1. Identify the format which best suits your search requirements:

    Plan Type/Number Order
    Parish Order
    Surveyor Order
    County Order

    For an explanation of the way the information is arranged in these formats see below under System of Arrangement/Control.

    2. Once you have chosen the format you wish to search you should view the relevant fiche, identify the plan(s) which you wish to view and take down the plan number(s).

    3. Microfiche copies of the plans in plan number order are available for researcher use in the North Melbourne Reading Room. This series does not need to be ordered. The original plans (VPRS 8168 Historic Plan Collection) are unavailable for public inspection unless researchers present written authorisation from the Surveyor-General to view specified originals. Access to the originals may be authorised in instances where the researcher can demonstrate that their research needs cannot be met by viewing the microfiche copy of the plans. These access arrangements have been formulated to preserve the original plans from further deterioration.

  • Function / Content
    The microfiche is divided into sections reflecting the various formats under which the information has been arranged. These comprise:

    Plan Type/Number Order: arranged alphabetically by sub-collection title (plan type) and then numerically by plan number within each sub-collection. For detailed information about the many sub-collections in this series, see the Historic Plan Collection entry on the PROVwiki.

    Parish Order: arranged alphabetically by parish/township (T) name, then alphabetically by plan type and numerically by plan number within each parish section.

    County Order: arranged alphabetically by county name which is located on the bottom right hand corner of each frame. Each section contains a listing of all maps/plans pertaining to that county listed alphabetically by parish, township (T) or county (C).

    Surveyor Order: arranged alphabetically by surveyor's surname, then alphabetically by plan and numerically by plan number within each surveyor's listing. Note that the surveyor's name could only be identified for approximately 40% of the plans.

    This series consists of the master and reference copies of a computer generated microfiche of the register to the Historic Plan Collection. The register functions as an index to the plans.

    The microfiche was produced in 1990 from a computer database register which was compiled in 1984 in order to facilitate access to the Historic Plan Collection.

    A paper output of the database is currently used in the Central Plan Office for retrieval purposes.

    The Historic Plan Collection, described loosely, consists of all "peripheral" maps and plans collected in the Central Plan Office. This collection comprises:

    (a) preliminary maps for surveys which enabled the three tier cadastral system to be developed

    ;(b) ancillary plans produced to complement this system

    ;(c) plans produced as a by-product of contemporary systems.

    These peripheral plans have been loosely termed "historical" because their subject matter is, collectively, more diverse than that of the central collection of parish and township plans (known as "record plans").

  • Recordkeeping System
    Whilst a generalised format is used to depict data involving the range of maps and plans it should be noted that in some entries contain blank fields - this is due to either of the following factors:

    (a) the data was not present on the original document and therefore no entry was possible

    ;(b) the data was present on the original document, but was unable to be deciphered, and hence no entry was made

    ;(c) the document did not appear to fit the parameters established for the data collection and hence no entry was appropriate.

    Fiche give details of:

    Plan Number
    County/Parish/Township
    Plan Name
    Scale
    Codes (see explanation below)
    Date
    Surveyor.

    Where practicable, there has been an attempt to identify the scale, date and content of the map or plan as an aid to the user. Clues to the content of each plan can be obtained from the sub-collection name, plan name/description, and the following nine codes (found in field 5) allocated at the time of compilation of the data.

    Codes: A topographic features
    AD hydrographic interest
    C cadastral features
    DA geological features
    NR road engineering
    PC rail or tramways
    B buildings plotted
    S soils and/or vegetation described
    M mineral deposits noted
    V vegetation described

    The plan name or description may extend over more than one line, but the full description appears only in the Plan Type order, with only the first line of the multi-line description appearing in the other versions. The surveyor's name could be determined for only approximately 40% of the plans, resulting in less entries.

    The surveyor's name was often difficult to determine at the time of data entry as some signatures were hard to decipher. In some cases there are variations in spelling and in others the name appearing on the plan is that of the draughtsman who prepared the plan.

    It is advisable to check the listings for parishes surrounding individual study areas. Inevitably, the full array of parishes represented on a plan may not have been recorded. In the case of pastoral run plans, only the central or predominant parish covered by each run was recorded.
