How to use the Records
Step 1
As files are arranged in state primary school number order a researcher should know the school number to retrieve a file. The school number can be obtained from an alphabetical list of schools available in the City and Laverton Search Rooms.
Step 2
Scan through the Records Description list for this series and identify the unit/box number which contains files with the relevant school numbers.
Function / Content
This series consists of capital expenditure work files relating to the construction of buildings and further extensions of State primary schools.
These files include the original paper (correspondence) setting out the case for the new building, or for additions; maps; plans; Public Works Department approvals; Minister's approval for expenditure; correspondence concerning the proposal; requisition for works; the letting of the contract and progress made.
The contents of the files date from 1925 to 1979. The pre-1956 correspondence relating to capital expenditure works which should have been filed on the relevant building file have been filed on some files in this series with a notation "Noted on building file". The post 1975-76 correspondence relates to the correspondence exchanged with the regional office about the school.
Recordkeeping System
This series represents one of a number of subsequent series to VPRS 795 Building Files : Primary Schools. Prior to 1956 all papers pertaining to school construction and maintenance including documentation relating to capital expenditure works were placed on a single file created for each school.
From the mid 1950's certain papers were no longer placed on this building file. These were placed on files within a number of new filing sequences created to deal with particular aspects of school construction. These other file series consisted of Furniture Files, Fencing Files, Subsidies Files, Temporary Premises Files, Special Grants Files, Residence Files, and Land Files.
With the exception of the capital expenditure works files and the temporary premises files (VPRS 3917) most of the series mentioned above were authorised for destruction by the Keeper of Public Records in 1992-93.
This series ended in 1975-76 when responsibility for the construction and alteration of state primary school buildings was transferred from the central Department to its regional offices.
