  • How to use the Records
    ** Researchers should be aware that this series is currently not in the custody of the Public Record Office Victoria and is still held by the Office of Local Government. **

    Researchers should check the index cards to see if there is a card for the subject heading under which a file they require may have been indexed. This card index provides access to files only and not to the contents of the files.

    You may have to look under several key words for the subject before you find the correct card.

    Check the card(s) to get the registration number of the file you are interested in.

    Once you have found a file number you are interested in use the consignment details for VPRS 8318 General Correspondence Files, Annual Single Number II to locate the file you require.

  • Function / Content
    The card index that constitutes this series indexes some files created under the annual single number system which was in use between 1974 and 1990. The index provides access to files classified as General (for the index to files relating specifically to municipalities please see VPRS 8813).

    Each card details a main subject heading. Beneath the subject heading is a file number and the title of the file.

  • Recordkeeping System
    The cards are arranged alphabetically by subject heading. There is no indication of how the subject headings listed on the cards were determined.

    The cards in this series are an index to files created during the period 1974 to 1990. It should be noted that occasionally next to a file title the annotation "c/f" is written followed by another file number. This means that the contents of one file have been carried forward (ie incorporated into) the contents of another, later, file.

    Previous/Subsequent Series

    In 1974 the Local Government Department changed their filing system from a multiple number system to an annual single number system. Access to the multiple number system involved consulting a List of Authorised Subject Headings (VPRS 8814) which was used to classify files by subject. A subject index to files was not therefore required under that system.

    In 1990 the Local Government Department introduced a computerised records management system, Rec-Find. Many files raised in 1990 were top numbered into the new system. The card indexes were not marked to identify any top numbering into the new system.
