  • How to use the Records
    Date Range of the Series

    The Index only covers the years 1907 to 1909. The records which it controls, VPRS 4026 Town Clerk's Inwards Correspondence Registers, cover a much broader date range: 1858 to 1909. It is not known if any other name indexes to the letter registers were ever created.

    How to Use this Series

    If the name of correspondent is known this index may be used to facilitate access to VPRS 3181 Town Clerk's Correspondence Files Series I through VPRS 4026 Town Clerk's Inwards Correspondence Registers.

    Entries in the index are arranged in broad alphabetical order. Entries were made for individuals, government bodies and commercial organisations.

    Access is gained by name. This gives the annual single number for the correspondence. (The year was written in red ink; the registered number was in black ink.) Subsequent letters from the body or person were entered also.

    The researcher should then refer to VPRS 4026 Town Clerk's Inwards Correspondence Registers to find the subject under which it was filed.

    To peruse the correspondence the researcher will have to access VPRS 3181 Town Clerk's Correspondence Files Series I. The researcher should refer to the Records Description List for the desired subject and year, and note the number of the Unit in which it is included.

    Arrangement and Control

    Entries in the Index were made in broad alphabetical order. The year in which the correspondence was received, and the number under which it was entered in the register was recorded opposite each entry. The register details for subsequent correspondence were also included in the Index.

    If the name of correspondent is known the Index may facilitate access to correspondence filed in VPRS 3181 Town Clerk's Correspondence Files Series I, once the subject has been ascertained in VPRS 4026 Town Clerk's Inwards Correspondence Registers.

    Correspondence was filed in VPRS 3181 Town Clerk's Correspondence Files Series I under subject headings. Correspondence was then arranged in chronological order for each subject.
