    System of Arrangement/Control

    Series : Fiche are numbered sequentially and marked with an alphabetical range of contents.

    Contents : Organisations are listed in lexicographical (ie. strict alphabetical) order by all keywords in company/business name.

    This series comprises a microfiche index generated from a computer system which controls the various organisations required by a range of legislative requirements to be registered with Corporate Affairs.

    This index refers to organisations which had been entered into the system and had been deregistered (ie. become defunct) at any time prior to 31 August 1990. An index of registrations at that time has also been transferred as VPRS 8267.

    This index provides a means of entry into a number of different Corporate Affairs registration systems. Some of these records have been transferred into archival custody.

    Records in PRO custody controlled by this index

    PRO holdings are essentially limited to the:
    files of defunct registrations, and
    manually created registers in a volume format.

    This index can be used to request most of the registation files in PRO custody. Holdings are currently limited to:

    VPRS 932 Trading Company Registration Files (provided the registration became defunct before 1974)

    VPRS 934 Foreign Company Registration Files (provided the registration became defunct before 1984) and

    VPRS 6624 Recognised Company Registration Files (provided the registration became defunct before 1984).

    It can be used as a means of entry into some of the register series. These being:
    VPRS 8269 Registers of Trading Companies
    VPRS 8272 Registers of Foreign Companies
    VPRS 8277 Registers of Industrial and Provident Societies (some entries only) and
    VPRS 8279 Registers of Miscellaneous Companies (some entries only).

    Records in PRO custody not covered by this index.

    Some registration systems created by previous agencies to Corporate Affairs are not controlled by this index as detail was not entered into the computer system. These are:

    VPRS 567 Mining Company Registration Files
    VPRS 10316 Prospecting Syndicate Registration Files.

    Additionally, none of the Business Name Files (VPRS 933) currently in archival custody are controlled by this index.

    Arrangement of index

    The headers of each individual fiche contain a sequential number as well as the alphabetical range of keywords on that fiche. The final fiche contains organisations whose name includes a number.

    Arrangement of entries on fiche.

    Entries on the fiche are arranged in lexicographical (ie. strict alphabetical) order according to a keyword within the full name of the registered organisation. As some organisations may have more than one keyword, individual entries may be duplicated within the index.

    Contents of individual entries

    Each individual entry in this index contains the following detail:
    keyword
    name of company, association or business name
    company, association or business name (see below)
    code (see below).
    registration status (either Ceased, Expired or Changed)
    date of cessation, expiry or change.

    The company, association or business name number usually comprises a number with an alphabetical prefix denoting the type of registered organisation and an alphabetical suffix. This suffix is merely a computer check number and should be disregarded.

    Computer system and microfiche index : Corporate Affairs

    The computer system was established by Corporate Affairs in 1982 to control the allocation and retrieval of registration numbers for Companies, Association and Business Names.

    Detail relating to current and defunct registrations is entered into separate data bases. Corporate Affairs staff use these data bases to conduct online research. Computer Output Microfiche (COM) indexes are generated for public use within the Corporate Affairs public search facility.

    Registered organisations controlled by the computer system/index.

    The computer system controls registrations for a range of organisations most of which were previously controlled through a manual card based system. These organisations are identified in each fiche entry through reference to a combination of the number and code. These are:

    Trading Companies LPTY and LPUB with C prefix
    Foreign Companies FNOS with F prefix
    Recognised Companies RECG with R prefix
    Co-operative Housing Societies HOSC with H prefix
    Industrial & Provident Societies PDNT with K prefix
    Association Incorporations ASSN with A prefix
    Miscellaneous Companies GENL with G prefix
    Business Names BUSN without prefix

    Computer system/index coverage

    Many of the registration systems created for these organisations existed for periods up to 118 years prior to the commencement of the computer system. This index is not a comprehensive list of all registration numbers historically allocated as these were not all entered into the computer system. The extent of coverage for each category of organisation is:
