How to use the Records
Consult the Consignment Details for the unit containing the records for the school about which information is required. From 1956, consult the Consignment Details for the group of units for the date for which information is required and then scan for the unit containing the alphabetical range in which the school name would be included.
Function / Content
Correspondence received by the Secondary Schools Division from High Schools throughout the State is filed in this series. Written correspondence (as opposed to returns of forms) has a registered number and may be annotated with notes of action taken and / or the suggested outlines of a reply. Later correspondence may have a carbon copy of the reply attached. Full details of correspondence sent to schools may be found in VPRS 10275 Outwards Letter Books, Post-Primary Schools and VPRS 10059 Outwards Letter Books.
Correspondence dealt with such matters as requisitions for school supplies and the forwarding of accounts for payment; teachers' appointments, examinations payments of salary, evaluation by Inspectors and leave; the granting of school holidays; copies of newspaper cuttings about the school and publications by the school; requests for interpretations of Departmental policy; parent and/or community complaints; requests for special assistance or staff and regular returns required by the Education Department.
Recordkeeping System
Correspondence until 1955 is listed alphabetically by school file. Within each school file, arrangement is chronological by year of receipt. From 1956, arrangement continues to be roughly alphabetical by school name with each file containing the correspondence for one calendar year.
