  • How to use the Records
    This record series is a microfilm copy of VPRS 17. It can be viewed in PROV's North Melbourne and Ballarat Reading Rooms.

    Having identified a relevant entry in the index note the correspondence registration number given eg. 42/943. Refer to the Registers of Inwards Correspondence (see the microfiche copy, VPRS 2139). The reference 42/943 would refer the 943rd letter (and entry) in the register covering the year 1842.

    Once the entry for that letter has been located in the register the final filing location (and therefore the registration number to search for in the Records Description List of VPRS 19) should be identified by tracing any links to subsequent correspondence usually marked in the far right hand column of the registers.

  • Function / Content
    This series consists of an alphabetical index to inward registered correspondence received by the Superintendent, Port Phillip District. For more information regarding the registry system these indexes are part of refer to the series description for VPRS 19 Inward Registered Correspondence.

    Entries within the index note the name of the sender, a short summary of the letter and the correspondence registration number allocated to that letter from VPRS 18 Registers of Inward Correspondence.

    Some correspondence indexed in this registry system is located in VPRS 1226 Supplementary Inward Correspondence.

  • Recordkeeping System
    There is only one hard copy volume of this series extant, which covers the period August 1839 to June 1843. It is not certain that other indexes covering the period to the commencement of the new administration in 1851 were created.

    Entries within the volumes are arranged alphabetically by name of sender or subject. Letters from " persons" ie. members of the public were indexed alphabetically by surname and were grouped together at the start or the end of the appropriate alphabetic section within the index. Letters from other government officials are listed under the name of the department or the position ie. Auditor General or Gaoler, The. Remember that the subject classifications used reflect 19th century ideas, values and attitudes and will not necessarily be analogous with current terminology.
