How to use the Records
The Index for the years 1959 - 1988 inclusive is available in the Reading Room. Researchers should ask at the counter. It is not ncecessary to preorder on-line via Archives @Victoria.
The files in VPRS 10010 Body Cards were filed in year and file number order (annual single number) order. The index (VPRS 5524) is arranged in chronological order by year and in alphabetical order by surname within each year.
Researchers may use the index for the relevant year to assist with the retrieval of the file in which they are interested. They should look for the name of the deceased person in the index and note the year and case or file number for that person.
The relevant file may then be identified in the Records Description Lists for VPRS 10010 Body Cards using the year and file number.
Function / Content
This series was created to index Body Cards (VPRS 10010). Before June 1986 Body Cards pertained to deceased persons received at the Melbourne Coroners Court, whilst after June 1986 they pertained to every reportable death in Victoria as specified by sections 3 and 15 of the Coroners Act 1985.
In 2003 some of the consignments were reserialised with the objective of forming a sequence of 'original' indexes and a set of duplicates (facsimiles) for reference in the Reading Room, Victorian Archives Centre. This is the reason that the Series Consignment Date Range of some consignments is 2003.
Recordkeeping System
Body Card numbers were allocated from an annual single number system on receipt of a body by the Court, or after 1986, when a death was reported to the Coroner's Office. Entries in the indices are arranged in strict alphabetical order and show only the name of the deceased and the Body Card number.
Indices were created annually. Until 1969, entries were typed on strip indices which were compiled to form pages which were later photocopied and placed in a spring back folder. The original strips were then destroyed. From 1970 indices were compiled from small index cards which contained the name and address of the deceased and the Body Card number. At the end of the year the name and Body Card number were typed in alphabetical order to form pages which were filed in a spring back folder. The original index cards were destroyed. The R1 consignment consists of a single box containing duplicate copies of indices 1964 to 1969. Indices for 1984 -- 1987 had not been transferred to Public Record Office Victoria at the time of writing, July 2002.
VPRS 5524 was succeeded in 1988 by a computerised case management system, VPRS 11901 Database for the management and control of coronial investigations.
