How to use the Records
Step 1
Review the index main headings on the consignment details to determine general subjects, government departments or author categories of interest.
Step 2
Go to the index cards to identify relevant files.
Step 3
Using the file (registration) numbers recorded on the index cards, review the consignment details for Inward Registered Correspondence, VPRS 1207. (1968 to 1983) and VPRS 9458 General Correspondence Files (1984) to locate the file.
Function / Content
The series consists of subject index cards for files located VPRS 1207 Inward Registered Correspondence (1968 to 1983), and in VPRS 9458 General Correspondence Files (year 1984 only). The cards contain information on correspondence received by the department including the number of the file upon which the correspondence appears, date of the letter, author of the letter, and subject.
The Inwards Registered Correspondence to which this index series provides access, were created under an annual single number system. They were allocated a two part number - a year prefix and a consecutive number. For example, file number 82/12 represents the twelfth file created in 1982. Numbers reverted to 1 at the start of each year (so the first file created in 1983 would be 83/1).
The index cards are arranged in three levels:
1.- in alphabetical order by primary category: subject term, department / authority name or author name.
2.- within the main categories, in alphabetical order by secondary subject.
3.- within the secondary subjects, by registration number.
The card index was occasionally culled to separate and remove inactive cards. As a result, there are four sets of cards that cover approximately the same time period and contain the same range of subject terms. Each of these sets represent a separate culling exercise.
As well, certain cards were moved in the alphabetical ordering as the names of departments or agencies changed or as functions were transferred between departments.
For example, cards relating to the Department of Youth, Sport and Recreation may be found under Sport and Recreation.
